Create a Delivery Channel

Manager allows you to create and configure a delivery channel for an organization.

Note

A delivery channel configuration is different for each delivery method.

To create a delivery channel:

  1. Select Forms > Organizations.
  2. Locate an organization and click Edit.
  3. Select the Delivery Channels tab to see a list of all delivery channels for the organization.
  4. Click New to create a new channel.
  5. Enter a unique name, within your organization, for the delivery channel in the Name Enter field.
  6. Note

    The default Trash Can Delivery is set by default, so collaboration jobs can run. However, you may want to choose user email delivery.

  7. Select the delivery method from the Delivery Method dropdown list.
  8. A delivery channel method can be one of the following:

    • Delivery Process
    • Email
    • Email Secure
    • Web Service
    • REST Service

  9. Enter a description of your delivery channel in the Description field.
  10. Select the Disabled checkbox to disable the delivery channel temporarily.
  11. Select the Default Delivery Channel checkbox to make it the default delivery channel for any forms within this organization that have not yet been associated with a delivery channel.
  12. Click Save to update the changes.

To configure a delivery channel:

  1. Select Forms > Organizations.
  2. Locate an organization and click Edit.
  3. Select the Delivery Channels tab to see a list of all delivery channels for the organization.
  4. Click Edit to update the existing one.
  5. Select a delivery process from the Delivery Process dropdown list.
  6. Note

    A delivery process invokes a service definition in Manager to perform the delivery.

  7. Enter a name into the Delivery Process Name field.
  8. Select the Deliver Submitted PDF checkbox to include the submitted PDF in editable form in the delivery. This was introduced in Manager v17.10.
  9. Configure email specific settings:
  10. Note

    Email delivery sends out an email to a set of email addresses. The email can contain the submission data. Delivery is marked as completed as soon as the email has been sent.

  11. Enter one or more email addresses for the email recipient(s) separated by commas in the To field.
  12. Enter one or more email addresses separated by commas for the email recipient(s) in the Cc field (optional).
  13. The Subject field is pre-populated with identifying details of the environment, form name, and submission identifier. You may choose to customize this subject by changing it here. It is possible to change the subject at the organization level as a means of affecting the defaults for the subject whenever a new email delivery channel is to be created.
  14. The Message field is pre-populated with a message. You may choose to customize this message by changing it here.
  15. Edit the Email File Attachments section:
  16. The Add Receipt PDF checkbox is already ticked to attach the PDF receipt with the email. Deselect this checkbox if you do not want to include the PDF Receipt.
  17. The Add Form XML checkbox is already ticked to attach the form submission XML file with the email. Deselect this checkbox if you choose not to include it.
  18. The Add Data Extract XLS checkbox is already ticked to attach the Excel file of the form submission data extracts with the email.
    Deselect this checkbox if you choose not to include it.
  19. If there are file attachments that a user must include with the email, then select the Add User File Attachments checkbox.
  20. If your email server limits the email size, then choose the appropriate size (in megabytes) from the Max Attachments Size dropdown. Whenever the limit is reached, a link to the submission is provided instead.
  21. The PDF, XML, and XLS filenames field is the PDF receipt file name, form XML and Excel Data Extract XLS files created. It is already set to the submission id as a VelocityApache Velocity Templates are used extensively throughout Journey platformto define html page layout, email body and subject. A template is combined with model containing a number or objects to produce a String. For more information see http://velocity.apache.org/engine/devel/user-guide.html variable, ${submission.id}. The file name must comprise only supported Velocity variables, such as:
    • Receipt number - ${receiptNumber}
    • Submission - ${submission}
    • Form - ${form}

    Manager automatically appends the correct file extensions, such as .PDF, .XML or .XLS.

  22. Click Save to update the changes.
